Create your first Number (KPI)

A quick guide to setting up and assigning your first Number in Workfacta.

Numbers (KPIs) help you track what matters most in your business. They give you visibility, help teams stay focused and make it easy to review tangible progress during meetings.


Step 1 - Choose How You Want to Create the Number

There are two ways to create a Number in Workfacta:

Option 1 - Using Max AI (Recommended)

Max AI helps you generate meaningful KPIs based on your business context.
Use this when you’re not sure what metric to track or want help defining a KPI.

  1. Click the blue + Create from

  2. Select the Max AI icon next to Numbers

  3. Type what you want to measure (e.g., sales pipeline, customer retention, production output)

  4. Pick a suggested KPI to continue

Option 2 - Create One Manually

Use this when you already know exactly what KPI you want to set.

  1. Click + Create

  2. Select Numbers

  3. Enter a short description (e.g., Weekly Sales, Support Tickets Closed)


Step 2 - Add the Details

Once the Number exists, complete the basic setup:

  • Team: Which team this Number belongs to

  • Quarter: When it applies

  • Number Type: Normal, %, or currency

  • Target: The value you want to achieve

  • Desired Result: Above target, below target, or within a range

  • Update Frequency: How often updates are required


Step 3 - Assign Ownership

Every Number needs two roles:

  • Owner: The person accountable for the outcome

  • Updater: The person responsible for entering results

If a user does not appear in the list, check they’ve been added to the team under Setup → Teams.


Step 4 - Save

Once saved, your Number will automatically:

  • Appear in Quarterly Planning → Numbers

  • Appear on the updater’s dashboard when updates are due

  • Flow into meeting agendas for discussion and review


Well done - you’ve created your first KPI in Workfacta!

As you get comfortable, you can start exploring extra options like recurring KPIs, auto-discussion, or requiring notes - but for now, you’re ready to start tracking.
