Customise KPI - "Require Note"

Turn updates into insights by Requiring Notes and setting expectations for reporting and accountability.

There are five options to customise when setting up Numbers on Workfacta:

This article will explain the option "Require Note".

Purpose of 'Require Note' Feature

The Require Note feature helps strengthen accountability by ensuring updates to a Number (KPI) include meaningful context - not just a result. You can choose whether a note is required always, only when the Number is off-target, or never, depending on how closely you want performance monitored.

Adding a Work Instruction gives the updater clear guidance on what to include in their note (e.g., reason for variance, corrective actions, risks, or supporting details). This helps standardise reporting and ensures updates are consistent, useful, and aligned with expectations.

You can also require the updater to create an Action when a Number is off-target. This turns slipping performance into immediate follow-through, helping teams stay proactive and ensuring every variance leads to a meaningful next step - not just a status update.

How to Setup 'Require Note'

When creating a Number, click the Require Note box and choose from the following options:

  • When off-target: A note is required only if the result falls off target.

  • Always: A note must be added every time the Number is updated.

  • Never: No note is required.

Optional Settings:

  • Work Instruction: Add guidance to help the updater understand what to include in their note (e.g., explanation, risks, corrective steps).

  • Require Action: Turn this on and set it to When Off-Target if you want the updater to create a corrective Action in response to a poor result.

Once saved, these settings will automatically apply each time the Number is updated.

Great work - you’ve enabled Require Note and unlocked one of Workfacta’s most powerful accountability tools.
