Before starting a Workfacta Meeting, you must assign a Convenor, Documentor and Contributor roles to members of your Team.

In this article you will learn what the different roles mean and how to assign them effectively.


1. Convenor

The Convenor chairs the meeting and is responsible for running it efficiently and purposefully. This person leads from start to finish, ensuring agenda items are addressed and decisions are made.

Key Responsibilities:

  • Launch and close the meeting

  • Keep the agenda on track and move discussions forward

  • Ensure actions and items are assigned and resolved


2. Documentor

The Documentor records what happens during the meeting. If it isn’t documented, it’s as if it didn’t happen. The Documentor captures discussions, decisions and assigned actions in real time.

Key Responsibilities:

  • Record Actions, Decisions, and Discussion items

  • Ensure accuracy and clarity in what is assigned and agreed

  • Maintain a reliable record of meeting outcomes


3. Contributor

A Contributor isn’t a traditional meeting attendee but plays a vital role by providing updates before or during the meeting. Contributors supply key data or input - such as KPI updates or project statuses - so the meeting can stay informed and action-oriented.

Key Responsibilities:

  • Provide update or input on designated items (e.g., Numbers, Goals)

  • Receive reminders and contribute content ahead of the meeting

  • Enable the team to stay focused on what matters, not generating status reports
