In this article you will learn how to create a Delegated Action in Workfacta.
Action Delegation is only available on the Enterprise and Enterprise Plus plans.
A delegated Action will appear in both the sending and receiving teams, making cross-team collaboration simple and transparent.
Why delegate an action?
Delegation allows you to assign an Action to a different team while still keeping visibility and ownership within your original team. This is useful when work needs to be completed by another group, but accountability and tracking remain with you.
Delegating an action helps you:
Keep visibility on progress without manually checking with another team
Reduce admin and follow-up messaging
Streamline cross-team workflow in just a few clicks
Avoid switching between teams to track status
Who can delegate actions?
Only users with delegation permissions can delegate an Action. These permissions are set under:
Setup → Teams → Edit Team → Delegation Permissions
If you don’t see the option to delegate, check that:
You're logged into the correct team
Delegation permissions are enabled for that team
Why Can’t I See the Team I Want to Delegate To?
If the team you want doesn’t appear in the dropdown:
Go to Setup → Teams
Select your current team
Edit delegation permissions to include the desired team
Save your changes
Once set, the team will appear as an available delegation option.
How to create a Delegated Action?
When creating an action, tick Delegate to Another Team and select the Team you wish to delegate to. You may also select the assignee in the delegated team who is responsible for completing the delegated action.
Note: if you are unable to see the Delegate to Another Team box, check the Team permissions as outlined above.
How do I know if an Action is delegated?
If it is a Delegated Action, a delegation icon will display on both the sending and receiving teams' pages, e.g. meeting page, update page, dashboard widgets. You can hover over the icon to view the Owner of the Action and to whom it was delegated to.
Can I edit a delegated item?
It depends what team you're viewing the item as:
If you're logged in to the owning team, you can edit the delegated item.
If you log into the delegated team, you can only view the item and can't edit. It is controlled by the delegating team.
Note: Both the owner and assignee will get email notifications on Actions when the original Action definition is edited.
